Trade privacy notice
Last updated: 4 November 2026
This notice explains what we do with the details you give us when you apply for a trade account, request a proposal, apply to the partner or reseller schemes, join the kit list, register interest in an installer quote or contact the trade desk. We only ask for what we need, and we don't sell your details.
Who we are
Newcastle Solar Suppliers is responsible for your personal details (the "controller").
- Address: Unit 3 Britannia House, Brunswick Industrial Estate, Newcastle upon Tyne NE13 7BA
- Contact: through our contact form
Account and quote data

The kit list Your first name, email, postcode if you give it, and when and where you signed up, with the wording you agreed to.

How we use it, and why we're allowed to
| What we do | Our legal reason |

| Check a business before opening an account | Our legitimate interest in knowing who we trade with |
| Supply and deliver orders, and keep account records | To carry out our contract with you |
| Check that only one kit goes to each household | Our legitimate interest in following the plug-in solar rules |
| Contact you about a safety notice or recall | Our legal duties on product safety |
| Keep sales records | Our legal duties (tax law) |
| Send kit list emails | Your consent |

Credit checks
We don't run credit reference checks. There are no credit accounts: trade orders are paid before dispatch or collection. If that changes, we'll update this notice before any check is made.
Who we share it with
| Who | What for |
|---|---|
| Zoho (Zoho CRM, Zoho Flow, Zoho Mail) | Our customer and lead records, the kit list and email |
| Cloudflare | Hosting this website, security, and a backup copy of enquiries |
| Square | Taking card payments, once ordering opens |

Where your details are held
Zoho stores our records in its EU data centre. Some services, such as Cloudflare, Google and Microsoft, may process data in the USA or elsewhere, covered by UK adequacy rules or approved contract terms. We sometimes work from Spain, so your details may be viewed from there; the UK recognises the EU as giving adequate protection.
How long we keep it
- Orders and account records: [HOW LONG WE KEEP ORDER RECORDS], for tax and accounting.
- Requests and applications that don't lead to an order: [HOW LONG WE KEEP ENQUIRIES].
- Kit list: until you unsubscribe, or after 24 months without opening our emails.
- Proof of kit list consent: while we email you, and for 6 years after.
Your rights
You can ask for a copy of your details, ask us to correct or delete them, object to how we use them, or withdraw consent at any time. Use our contact form. We'll reply within one month, free of charge.
If you're unhappy with how we've handled your details, tell us first. You can also complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.
